Using the Files Expiring Soon List
The Files Expiring Soon list shows the files that have the most immediate expiration dates. It is accessed by clicking the more link on the Files Expiring Soon panel on the Portal Home page. Right-clicking on a file displays a list of actions that you can perform on the file.

Column | Description |
---|---|
File status | Displays a status indicator that indicates the file's availability. The indicator is green when the file is available, yellow when you have it checked out, and red when someone else has the file checked out. |
File Name | Displays the name of the file |
Portal Name | Displays the name of the portal the file was uploaded to |
Folder | Displays the folder that the file was added to, if any |
Expiration Date | Displays the expiration date for the file, if one was given when the file was uploaded |
Date Modified | Displays the date the file was last modified |
Modified By | Displays the name of the last person to modify the file. |
Size (KB) | Displays the size of the file |

Menu Option | Description |

Check-out | Checks out and locks the file so no other user can also check out or edit the file. |
Check-in | Checks the file back in to Portal so that it is accessible to other users. |
Cancel check-out | Checks the file back in to Portal without saving any changes made during check-out. |
Lock |
Makes the file unavailable to other users for downloading, check out, or editing. |
Unlock |
Makes a locked file available to other users for check out, downloading, and editing. You can only unlock files that you locked. Note: Firm administrators can unlock files locked by other firm and portal users. |
Download | Begins the process of downloading the document without checking it out. |
Send as Hyperlink | Opens a window that will allow you to compose an email that includes a hyperlink to the document. |
Delete | Deletes the file from the portal. This option is not visible for portal users in the collaboration area. Instead, portal users can use the Request file deletion command described below. |
Request file deletion | Sends a message to the portal approver asking that the file be deleted. This option is available for portal users when they are in the collaboration area. Firm users, or portal users in the client area, have the option to delete files instead. |
Folder Path | Opens a window so you can select to send the file to another folder. |
History | Select to display a window with information about the file history. Information included in the history includes the file's date/time stamp, user ID of people who have worked with the file, the operation performed on the file, the result of the action, and comments, if any were entered. |
Properties | Displays a window that contains properties information for the file. You can change some file properties. |
